ITQAN/Quran Institute/Donor/Member Administrative Assistant

Employer: MAS-DC Community Center

Location: Alexandria, VA

Pay: Hourly, unbenefited, and commensurate with experience. 

Schedule: 12-15hrs per week

MAS-DC is seeking a bright and talented administrator to manage the ITQAN/Quran Institute(QI)/donor/member administrative tasks for our growing nonprofit’s community center. The administrator will serve as the main point of contact for past/current/prospective students, donors, and members who have questions/concerns or need assistance at any point in the following processes from A to Z: student application/registration, donor giving, and membership. As such, the administrator will be responsible for accepting/processing/following up to collect payments and necessary documents from students/donors/members as needed for each process, maintaining various databases/spreadsheets and providing occasional status reports, providing support to faculty and staff behind the scenes, and other related tasks as needed. This position will require mostly weekend day time, occasional weeknight office hours, and seasonally-increased hours during the month of Ramadan and around the Eid holidays. The ITQAN/QI/Donor/Member Administrator works closely with the Administrative Assistant, ITQAN Director, and Quran Institute Director. The successful candidate must demonstrate flexibility and be able to adjust to the needs of the center as well as exhibit a history of being good with people, a team player, able to handle sometimes stressful situations with calm and respect, reliable, trustworthy/able to maintain confidentiality, and highly detail-oriented.

Quran Institute (QI) & ITQAN Duties:

Applications:

  1. Print/compile application form packets as needed
  2. Ensure parent(s) completed forms correctly
  3. Enter information onto spreadsheet/database system
  4. Follow-up with any queries that arise
  5. Keep system up-to-date (new students & students that left)

Fees:

  1. Enter tuition/book fees onto system
  2. Charge the credit cards
  3. Send invoices for parents who pay with cash or checks.
  4. Make sure every month that the payments are accepted
  5. Contact the parents who have any problems with their credit cards.
  6. Update all spreadsheets to record every single payment that the parents pay, and keep them up-to-date .

Correspondence:

  1. Send emails related to QI questions
  2. Send emails to parents as needed
  3. Check & Send homework via email
  4. Type letters, post announcements
  5. Answer telephone/email/in person queries
  6. Attend meetings that require minute taking
  7. Type up meeting minutes and share with attendees
  8. Set up a WhatsApp/messaging chat to give parents notifications and important announcements
  9. Update MAS weekly newsletter with every detailed activity, either as news or pictures, videos belonging to ITQAN/QI programs.

Housekeeping:

  1. Store the materials for activities in organized place in the storage
  2. Label every new thing to store it in a clear way
  3. Keep an inventory of items
  4. List items needed and send to director

General:

  1. Be an active member of QI events for QI
  2. Help teachers when needed
  3. Take pizza orders from students
  4. Place pizza orders
  5. Ensure stationary is available and adequately stocked
  6. Answer all general queries regarding ITQAN/QI
  7. Create spreadsheets/documents as when needed
  8. Keep directors and admins informed
  9. Collaborate with other office staff, if and when needed eg. booking of a room for a meeting, etc.

Donor & Member Duties:

-Counting donations/membership payments, 

-May occasionally deposit money at the bank

-Processing donation/membership payments 

-Donation/membership funds tracking on various spreadsheets

-Follow up with donors/members with missing profile/payment information and missed payments

Financial Administrative Assistant

Employer: MAS-DC Community Center

Location: Alexandria, VA

Pay: Hourly, unbenefited, and commensurate with experience. 

Schedule: Approx. 20hrs per week 

Type: Long-term, pending success of probationary period

 

Job Purpose:

MAS DC is seeking a bright and talented administrative assistant to help maintain various databases as well as perform basic bookkeeping. This position will be a part-time position, requiring mostly weekend day time and occasional weeknight office hours, along with other related tasks as needed.  The successful candidate must demonstrate flexibility and be able to adjust to the needs of the center.

Duties:

– Deposit cash/checks into MAS accounts
– Process payments and reimbursement requests

– Process accounts payable and maintain related files

– Ensure proper documentation and recording of financial transactions

– Ensure attendance and payments match up for weekend school and Blossoms

– Process employee timesheets and maintain employee leave records

– Work closely with staff and be the point of contact for employee reimbursements and employee leave questions

– Maintain records of donations received and ensure compliance with applicable laws governing charitable giving

– Mail donor receipts at the end of the year

– Check MAS DC mail and voice mail and distribute appropriately

– Receive and follow up on emails requesting information from MAS

Weekend Teacher for Ages 4-6

Employer: MAS-DC Community Center

Location: Alexandria, VA

Pay: Hourly, unbenefited, and commensurate with experience. 

Schedule: Approx. 6-12hrs per week, minimum 

Type: Long-term, pending success of probationary period

 

The candidate must:

  • Recite the Quran extremely well (with professional pronunciation of the letters, with “Tajweed”, and no mistakes).
  • Be available to work every Saturday and/or Sunday from 9:30-3:30 with some flexibility for one meeting per month, in addition to related events.
  • Have experience with teaching and dealing with young students from 4-6 years old.
  • Teach students the alphabet in Arabic using a variety of creative methodologies, and be able to share the fun with students.
  • Have a clear voice and excellent communication skills.
  • Be able to speak, communicate and read English fluently.

Substitute  Blossoms Teacher for Ages 3-5

Pay: Hourly, unbenefited, and commensurate with experience. 

Schedule: Approx. 4.5-21hrs per week

Type: Temporary, as needed

 

The candidate must:

  • Speak Arabic “ Fus-ha” اللغة العربية الفصحى fluently.
  • Have experience with teaching and dealing with the students from 3 to 5 years old.
  • Recite the Quran extremely well (with professional pronunciation of the letters with “Tajweed”, and no mistakes).
  • Be on call and available to work as needed one or more days Monday through Friday from 8:00-3:45pm with some flexibility to work on Saturdays, in addition to attending and helping in related events.
  • Be creative and dynamic with the ability to teach and share the fun with students.
  • Have a clear voice and excellent communication skills.
  • Be able to speak, communicate and read English fluently.

Teachers are paid hourly, commensurate with experience.
